Privacy policy
The short version
- We only collect what's needed to remind you about deadlines.
- We process scanned images in memory and discard them. We don't keep your photos.
- Extracted text and structured fields are stored so the app works across devices.
- You can delete your account and all associated data at any time.
What we collect
Account information
- Email address (and name, if you sign in with Apple)
- An Apple-issued opaque user identifier (if you sign in with Apple)
Reminder content
When you scan a document, the image or PDF is sent to our server, held briefly in memory, and read using OCR (optical character recognition) to extract its text. The original file is then discarded. We don't store the original image. The extracted text and structured fields (e.g. title, issuer, due date, reference number, amount, contact details) are stored in our database so you can see and edit your reminders across devices.
AI extraction (OpenAI)
To turn the raw text into structured deadline details, we send the OCR text from your document to OpenAI, an AI service provided by OpenAI, L.L.C. Because this text is read from your document, it can include personal data printed on it, such as your name, address, reference numbers, amounts, vehicle registration, and bank details. We send only this text. We never send the original photo or PDF, your account email, or your device identifier. OpenAI processes the text only to return the extracted fields and, under its API terms, does not use it to train its models. We ask for your permission inside the app before your first scan is sent for AI extraction. OpenAI's privacy policy is available at openai.com/policies/privacy-policy.
Device information
- A push notification token (so we can send you reminders)
- App version and platform (for diagnosing crashes)
- A device identifier (used for free-tier quota tracking)
What we do not collect
- Original document images (held only in memory during processing, then discarded)
- Location data
- Contacts, photos, or files beyond what you choose to scan or upload
- Analytics or third-party advertising identifiers
How we use this data
- To extract deadlines and contact details from your documents, including sending the document text to OpenAI for AI extraction
- To schedule and deliver reminders before each due date
- To keep you signed in across app sessions and devices
- To send account emails such as password resets
- To diagnose bugs and answer support requests you raise with us
- To process subscription payments (once paid subscriptions are available)
Who else processes your data
We use trusted service providers for hosting, authentication, AI extraction (OpenAI, for reading deadline details from your document text, as described above), email delivery, push notifications, and subscription payments. They only process the data needed to provide those services, and we require them to protect it to a standard equal to our own. We can share our current sub-processor list on request.
Data retention
Your reminders are kept until you delete them or close your account. If you delete a reminder, it is permanently removed from our database within 24 hours. If you delete your account, all reminders, profile data, and push tokens are removed within 7 days.
Your rights
Under UK GDPR you have the right to access, correct, port, or delete your personal data, and to object to or restrict processing. You can:
- Access and edit your reminders directly in the app
- Delete individual reminders or your entire account from the Settings screen
- Contact us at support@duesnap.app for anything else
If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office at ico.org.uk.
Children
DueSnap is not intended for users under 13. We do not knowingly collect personal data from children.
Security
All data in transit is encrypted with HTTPS/TLS. Data at rest in our database is encrypted. Access to user data is restricted to the account holder by row-level security policies.
Changes to this policy
If we make material changes, we'll update the "Last updated" date and notify active users in the app.
